The problem it solves

Business records rarely live in one place.

For most small businesses, the year’s financial activity ends up spread across bank statements, card statements, payment processors, invoices, paper receipts, handwritten notes, and more than one account. Nothing is necessarily wrong — it is simply scattered, which makes it hard to answer basic questions about what has been recorded and what may still be missing.

This organizer gives that activity one structured place to live. Each transaction is entered once, categorized, and marked as cleared or needing review. The summaries then show you what your own entries add up to — which makes gaps easier to notice while there is still time to look into them.

  • Bank statements
  • Card statements
  • Payment processors
  • Receipts and invoices
  • Handwritten notes
  • Multiple accounts

The workbook organizes what you enter. It does not verify your records, and it cannot confirm that a business is accurate, complete, or ready for tax filing.

Two workbooks included

One to work in. One to learn from.

Blank Working Template

2026 Small-Business Cashbook & Record Organizer

  • Designed for your own business details and transactions.
  • Editable entry areas on each monthly sheet, with the calculated columns kept separate.
  • Formulas and summaries that carry entries through to the Preliminary Profit & Loss, Reconciliation, and Dashboard & Year-End sheets.
  • Written instructions, a category guide, example entries, and troubleshooting notes for Excel calculation settings.
Completed Sample Workbook

A fictional example, filled in from start to finish

  • Built on an invented example business, using invented customers, amounts, and dates.
  • Shows what properly populated monthly entry sheets look like.
  • Demonstrates how activities, categories, and entries flow into the summaries and the Preliminary Profit & Loss.
  • Provided as a learning reference, and nothing more.

The sample business, its customers, and every figure in it are fictional. It is not an actual business, not client information, and not a recommended or expected financial result.

How it works

Eight steps, in the order you will actually take them.

  1. Download both workbooks

Both Excel files arrive by email: the blank working template and the completed sample.

  2. Review the completed sample first

See how populated entry sheets, categories, and summaries fit together before entering anything of your own.

  3. Open the blank working template

This is your copy. Start on the Welcome and Setup sheets.

  4. Read the instructions before entering information

The How It Works and Category Guide sheets explain the entry rules and the categories the summaries rely on.

  5. Enter details in the designated editable areas only

Each transaction is entered once on a monthly sheet, with a date, description, activity, category, and money in or money out.

  6. Review the summaries and Preliminary Profit & Loss

The Preliminary P&L, Reconciliation, and Dashboard & Year-End sheets update from the entries you record.

  7. Use the troubleshooting notes if formulas do not update

The workbook includes guidance for the Excel calculation settings that most often prevent results from refreshing.

  8. Ask a qualified professional when you need help

The organizer is a starting point, not a substitute for professional assistance.

Every result the workbook produces depends entirely on the accuracy and completeness of the information you enter. If an entry is missing, miscategorized, or duplicated, the summaries will reflect that.
